A useful evidence set explains where a record came from, what it concerns and which question it can help answer. Volume alone does not create clarity.

Use a question-led index

Group records by product identity, reported issue, changes, harm and responsibility. For each item, record provenance, date and the factual question it addresses. This makes it easier to identify missing material and prevents a large shared folder becoming the investigation itself.

Preserve context

Logs, photographs and exports can lose meaning when separated from their configuration or timestamps. Retain originals where appropriate and record how extracts were produced. A copied line from a log should be linked to the relevant system, version and clock context.

Control access and sharing

A review may involve confidential designs, personal information and commercially sensitive records. Distinguish preservation from sharing and apply appropriate access controls. Professional guidance may be needed before selecting material for a dispute, insurer or external investigation.
