Frame the engineering question
Agree the product, supplied configuration, intended application and project boundary. Make the assumptions visible before the review begins. The objective is a useful next decision, supported by evidence.
Review the technical record
Connect each question to the current drawings, assessments and verification records. A document title alone is not evidence that it answers the question. Check revisions and the configuration actually described.
Resolve the gaps
Assign each open action to an owner. Distinguish a design decision from a test still to be performed and a question needing specialist interpretation. Keep the project record usable by people outside the original meeting.
Maintain the evidence
Hand over a structured record and explain how future changes should trigger review. Machinery evidence needs to follow the machine through engineering changes and information learned from use.
